Scheduling
Schedule your meetings for Jordan Hall
by using Corporate Time. If Corporate
Time isn't working reserve with the room designee directly.
Room Set Up
It is imperative that you input your
room arrangements in the description window in Corporate Time
for the custodial staff who will be setting up the room or it
will be assumed that you will set the room up yourself. This includes:
contact person, phone number, room arrangement, number attending.
Room arrangements in Jordan Hall can be: seminar stylerows
of chairs with head table; meeting styletable with chairs
around it; otherplease specify horseshoe shape, tables in
the round, tables and chairs facing front, etc.
Equipment
Each piece of audio/visual
equipment at the Station is also on Corporate
Time.
Room Capacity
Try to keep seminars in the Staff Room
(the room with the kitchen) and meetings in the Lounge whenever
possible. The Staff Room holds 51 people, the Lounge holds 80
people, and the Auditorium holds 400 people.
Clean Up
Please leave the rooms and equipment
as you found them.
Cancellations
If your meeting is cancelled, cancel
the meeting in Corporate Time as soon as you find out, at least
24 hours in advance, so time is not wasted setting up for non-existant
meetings and the room can be used by others. If you are giving
less than 24 hours notice, contact Gemma
Osborne directly, at 2248.
Catering
People who arrange a meeting are responsible
for providing their own catering service. These are two suggestions,
but the list is not meant to be all-inclusive: Club 86 for lunches,
dinners, coffee and bagels, 789-4955. Olive Tree, for lunch, 781-1339.
Coffee
In Jordan Hall, there are two 50-cup
urns available for meetings. It is the responsibility of people
who arrange meetings to supply their own coffee and supplies and
make the coffee. Your alternative is to have it catered. This
is also true for outside groups. When finished, make sure to wash
out the coffee urns and put them back in the Staff Room.
PA System
Only Jordan Hall Auditorium is equipped
with a public address system. Three wireless mikes for use are
available for use from Communications Services. When the meeting
is finished, turn off the system and return the mikes to CS.
Pavilion and Ballfield
New policies for the use of Station recreation
facilities are available online.
Windows
Do not open the windows in Jordan Hall
when the shades are down.
